AI Transparency Policy

Introduction
At Declaration Limited, we are committed to transparency in how we create content for our clients. As part of our workflow, we use artificial intelligence (AI) tools — including ChatGPT — to support the development of article structures, blog outlines and white papers, and to draft content. This policy explains how we use AI, how we ensure quality and accuracy, and how we handle data, intellectual property (IP) and client preferences.
How We Use AI
We use AI tools to support, not replace, our human expertise. Specifically, AI is used to:
- Generate content structures and outlines.
- Generate initial drafts based on those structures and outlines – drafts which are then subsequently shaped and edited by our human team.
- Produce abstracts and conclusions that are also shaped and edited.
Human Oversight and Quality Assurance
All AI-assisted content undergoes comprehensive human review before it is delivered to clients. This includes:
- Ensuring alignment with the client’s house style, tone and messaging.
- Adapting content for publication requirements where relevant.
- Applying our technical experience to verify, to the best of our ability, the accuracy of AI-generated content and to challenge questionable information.
- Conducting additional research where necessary, especially for technical or specialist subject matter.
No content is ever delivered to clients without being fully reviewed and approved by our team.
Option to Request Non-AI Content
We recognise that some clients may prefer content created without any AI involvement. Clients may request:
- Workflows that avoid using AI tools at any stage.
- Content produced entirely by human authors.
- Documentation confirming AI was not used.
We make additional charges for some forms of non-AI generated content.
Data Privacy and Confidentiality
We treat client information with the utmost confidentiality. Our use of AI tools adheres to the following principles:
- We do not input sensitive, confidential, or proprietary client information into AI systems that may use prompts for model training.
- Any information provided to AI tools is already publicly available, anonymised or sufficiently generalised whenever possible.
- AI usage is limited to platforms that align with industry standards for privacy and data handling.

Accuracy and Limitations of AI
While AI can support efficiency and creativity, it has inherent limitations. AI-generated content:
- May contain inaccuracies or outdated information,
- Should not be considered authoritative without human verification,
- Cannot replace expert judgment, specialist knowledge, or bespoke editorial reasoning.
Our editorial processes are designed to address these limitations before any content is delivered.
Intellectual Property
AI tools may draw on patterns and source material from their training data when generating text. However:
- Final deliverables provided to clients are the result of significant human input, editing, research and refinement.
- We assert full intellectual property ownership of the final content until payment is received, after which IP rights are transferred to the client in accordance with our standard terms.
- Any underlying AI-generated material that contributes to drafts does not affect the client’s ownership of the final content.

- Maintaining transparency with clients.
